Training a New Employee on Union

Union currently does not offer future onboarding to new employees. However, we've made it easy for your new employee to learn the Union software just as you did! We've outlined a four week plan to get you started! Always remember you and your new employees are welcome to join our group office hours that occur weekly! Week 1

Event Categories | Passes and Subscriptions | Events | Edit a Performance

Event categories

Event categories are the link between passes your customers buy and the events they have access to attend. In addition to linking passes to events, event categories can be filtered and displayed separately on an organization’s public-facing Union page.

Passes and Subscriptions

Passes tell Union to grant customers access to categories of classes and events. They allow customers to pay you for access up-front, and decide what to actually attend later. Passes are a one-time payment. 

Uses for a pass include: a unique workshop, a drop in, if you need to comp someone a subscription

Subscriptions enable organizations to create offers to customers they are able to register for and pay monthly through automatic payments. As a reminder, subscriptions cannot be given out as a comp or created at $0.

Please be mindful of a few features when creating your pass/subscription

  • Public Passes Page: If you leave this “Public”, this will show on your Union’s public passes page. By deselecting this does NOT hide it from your customers. If you would like to hide a pass, please add an access code. 
  • Registration Limits: Refers to how many times a customer can use this pass/subscription. Example: if creating a drop-in, you would want to change your registration limit to (1). 

Events

An event in Union is a top-level description. Union has helped by creating some of these on your behalf to ensure a successful launch. 

Some key points to be mindful of when creating your events are selecting the correct Location* and choosing the appropriate event category. 

Creating a workshop/training event is similar! Some differences when building the event is you’ll want to select the option “Training or Workshop Series”. What this accommodates for is automatically registering your students for all occurrences in the schedule you create! Bypassing the need for your students to register for each class. 

Edit a Performance

If you need to make changes to a specific performance (or class), we will review how to accomplish this. If you need a reminder at anytime, click the header for Edit a Performance and this will link you to the video tutorial. 

Some common reasons for needing to edit a performance include: changing the name, description or image | Changing the attendance type *note: if you have registrations against your performance, please also see Changing Performance Attendance Type


Week 2

Category Discounts | Using Union’s Register | Issuing a refund 

Category Discounts

Offer discounts to holders of a specific passes, subscriptions, or payment plans through specific event categories. You will need to update the discount if a new event category is added. For example:

You create a Chakra Workshop and added a new Chakra Workshop event category.

You want your teacher’s and fire keepers pass/sub holders to receive 25% off. You would need to go into Discounts (Events > Discounts) and update each discount to include the new event category you created for your Chakra workshop. 

Using Union’s Register

Union’s register gives you freedom to accept payments and register your customers with ease. When using the register you can accomplish tasks like registering a new student for a class to attaching a replay for them on their behalf. While we will do some of these together, here are some helpful resources if you need a reminder!

Issuing Refunds 

A common rule that is shared with Union services (pass, subscription, or payment plan) is that canceling these alone does not issue a refund. This allows ease if the customer would like to apply the balance to a different service!

The important quality when issuing a refund for a subscription is that most often, you must cancel the subscription. If a cancellation does not occur, your students will continue to be charged. Check out our video tutorial on how to cancel a subscription and/or process a refund!


Week 3

Union Reporting 

Performance Report

Union's performance report can provide you deep insight about your classes. Our quick snapshot allows you to hone in on specific events, teachers, locations, and even specific registration types!

Series Summary Report

If you have created a series event in Union (i.e. training or workshop) using the series summary report will provide you with some deeper reporting on how they’re performing/performed! For instance, the bar graph we include for each summary can help show you what classes held the highest attendance. You can also grab a breakdown of the average amount of students who completed the live program in full. 

Revenue Categories Report

In Union, Revenue Categories are a great way to file away revenue that are associated with your passes. This report shows where the revenue is being attributed.

Feedback Report

Customers are presented the option to leave feedback after a livestream or a replay! They are presented with the option to rate the teacher, the video, and audio. We also allow space for them to type in any additional comments! This report compiles all the feedback into one space. 

Video Reporting

Your Union account includes a video delivery, usage, and views report. 

Video Delivery: This report provides you a list of your organizations videos and their total video delivered minutes. 

Video Usage Summary: This report provides an overview of your organization’s daily video usage minutes. We break this down by total encoded mins ($.04) and total delivered mins ($.003) per day. The sum of each day’s encoded minute cost and delivered minute cost. This amount will be shown as a line-item in the Transactions report upon withdrawal.

Week 4

Learn with Union

Now that you have a better understanding of some foundations of Union, it's time to see it in action with some day to day operations! We've created a training video to help familiarize you with the Union software! The video gives some general use cases that could be helpful and introduce the Union lingo.
