Customer Account Details Only Import Process

If you are migrating to Union from a previous software that is not on our provider list, please speak to your Union Sales and Onboarding team and see if a customer details import could be preformed instead. This would allow you to send a bulk invitation to all of your customers so they can create a password and immediate access their new Union account.


Things to consider

  • The account will be created once the customer accepts the invitation.
  • As an admin, you may have limited access to the account until the customer accepts the invitation. If you are importing customers that may have an active pass or subscription and you want to add these for your customers in advance, you can follow our simple workflow for creating a customer's account. You can then attach the appropriate pass (as a comp) or subscription (as a free trial).

Step 1: Add Customers who Have an Active Pass/Subscription

It will be easier for you to first add the customers who have an active pass or subscription. You'll want to begin by creating the account and then attaching the appropriate pass (as a comp) or subscription (as a free trial).


Create an Account

Visit People > All People > Add Person


Add the Customer's email and click Invite Person. This does NOT send an invite to the customer (unless they're already in your org).


Once you have added the customer's email, add in the details about your customer. You can choose to send the customer the invite now or send it later.

Step 2: Attach a Pass or Subscription

Whether you would like to do this immediately after creating your customer's account or after all have been added, you will want to attach the appropriate pass (as a comp) or subscription (as a free trial).

As a reminder, if you are attaching a class card/pass (i.e. 10 class card), you will want to edit the pass to ensure they have the correct expiration date and registrations remaining.

Step 3: Upload a Customer Invitation List

Visit People > Invitations > Add Person > Invite Multiple People


Add a name for your importer list and upload your file. You can choose to send your invitations now or choose to send at a later time.


Important note: Please be sure your file has the exact columns (sample below). You can download the example CSV to add your customers or reman your existing file to the following columns:

  • first_name
  • last_name
  • email
  • phone


Once you click Upload, you’ll see a blue banner verifying that your list was created. Depending on the size of your list, it may take a few minutes for the download to complete. If you’d like, you can refresh the page.


When your file has completed the download, you will be able to verify how many were in the file and then added. If you ever need to access the list again, you can click Download. If you chose to send the invitations at a later time, you can access this by visiting People > Invitations.


Under Unsent, you’ll be able to see your complete list. When you’re ready to send the invites, click Send Unsent Invites.
