Refund a Pass

Canceling a pass or registration does not refund the payment made to purchase is. Following are best practice to cancel a pass and issue a refund back to their original method of payment or to their account balance. Also be sure to check out our video tutorial for additional guidance.  

In the Union admin interface you can access a specific member's info page by using the global search

Scroll to the Recent Orders and click Show:

If you are wanting to cancel the pass and refund the pass in full (dollar or account balance, simply click Refund Money & Passes

Select the pass and dollar amount that will be refunded. You must add a reason in order to complete your refund. *See below to learn about refunding to Union account balance

You should see a green success bar at the top of your screen to confirm the refund has been processed.

If you would like to refund a custom amount, from the order page, click the drop down arrow

You'll then be presented with a pop up window to adjust the dollar amount you'd like to refund. You must add a reason for the refund in order to complete. This reason will be shared in with the customer in the refund receipt they receive via email.

As a reminder, a refund does not cancel a customers pass, you may need to click Cancel it of you no longer want it to be able to be used.

Refund to Union Account Balance

By choosing to refund to the Union account balance, your customer will have the ability to apply that credit towards a different pass/subscription purchase of their choice. *Note: Currently, an account balance can only be applied to NEW subscriptions, not existing subscriptions.

From the order receipt, clicking on the customers name in bold will take you back to their account. Here's where you will see their newly added credit.

As a reminder, a refund does not cancel a customers pass, you should Cancel the pass if you no longer want it be used for registrations.
